This Privacy Policy describes how Turnkey Corrections ("we," "us," or "our") handles information in connection with the Perfect Pass mobile application ("the App"). Perfect Pass is an enterprise application restricted to authorized correctional facility personnel. This policy applies to the Perfect Pass mobile app on both Android and iOS.

1. Who Uses This App

Perfect Pass is not available to the general public. Access is limited to employees and authorized staff of correctional facilities that have an active agreement with Turnkey Corrections.

2. Information We Collect

• Login credentials: Your username and password are used solely to authenticate your account with our secure servers. They are stored on your device only to keep you signed in, and are removed when you sign out.
• Authentication token: Upon login, a secure JWT token is stored locally on your device to maintain your session.
• User profile data: Basic account information (name, email, department) is retrieved from our servers and cached locally for app functionality.
• Order and inmate data: Canteen order information and associated inmate records are cached locally on your device to support offline use. This data is sourced from your facility's management system.
• Photos: The App may capture photos using your device camera for order denial documentation. These images are transmitted to and stored on our secure servers.
• Digital signatures: Signatures captured within the App are transmitted to and stored on our secure servers as part of the order fulfillment record.

3. How We Use Information

All data collected is used exclusively for the operation of the Perfect Pass canteen order management system. Specifically:

• To authenticate and authorize users
• To display and process canteen orders
• To record order approvals, denials, and supporting documentation
• To support offline functionality and sync data when connectivity is restored

We do not use your data for advertising, analytics, or any purpose unrelated to the App's core functionality.

4. Camera Usage

The App requires access to your device camera for two purposes:

• Scanning barcodes on canteen orders
• Capturing photos required for order denial documentation

Camera access is only active when you initiate a scan or photo capture. No photos or video are taken without your direct action.

When photographing items for a refund record, the App runs face detection on your device to block the shutter while a person is in frame. This analysis happens entirely on the device, it never identifies anyone, and no facial data is stored or transmitted.

5. Data Storage and Security

Data cached on your device is stored in the App's own private storage, which other apps on the device cannot read. On iOS, your sign-in credentials are held in the system Keychain and marked as device-only, so they are excluded from device backups and are never synced to iCloud. Data transmitted to our servers is protected using industry-standard HTTPS/TLS encryption. Access to server-side data is restricted to authorized Turnkey Corrections personnel.

6. Data Sharing

We do not sell, trade, or share your personal information with third parties. Data is shared only with the correctional facility that employs you, as required for the operation of the App.

7. Data Retention

Locally cached data is retained on your device until you log out or clear the app cache. Server-side records are retained in accordance with your facility's data retention policies and applicable regulations.
